With the use of Aleop, transitioning to accrual accounting is easy. By combining optimal use of Aleop and the features of SigaFinance and SigaFinance Evo, you greatly minimize the number of accounting entries to be made.

Entries of your transactions

For your Aleop transactions

  • All entries where the first line of the explanatory note begins with Aleop.
  • Scan your paper documents or send your electronic documents to your Aleop account.
  • Identify the type of documents (Document Classification).
  • Document validation.
  • Payment and receipt in Aleop (by supplier account, client account, bank account, etc.).
  • Importing entries into SigaFinance.

Entry of payments.

The "PAYMENT ENTRY" module in SigaFinance allows you to check your suppliers' account statements. Select the invoices you want to pay, and by clicking "save," SigaFinance automatically records the entry in "ENTRY OF RECORDS."

  • Supplier subsidiary list (Subsidiaries/Subsidiary list).
  • Payment entry while checking suppliers' account statements (Processing/Payment entry).
  • List of supplier payments to be made (Processing/Payment list).
  • Payment to the financial institution or by check.

Monthly transactions to your bank account

At this stage, you need to record the recurring entries that affect your bank account each month, such as loan payments, bank fees, line of credit variations, insurance, withdrawals, and salaries (if you’re not using the payroll module), etc.

  • If your recurring entries are already programmed in your "CHAINED ENTRY TEMPLATES," use this function  (Files/Definition of entry templates).
  • Use your bank statement to record the monthly entries and/or correct the chained entries to reflect the exact amounts processed through the bank account.

Automated bank reconciliation

  • Download of bank statements ***.PDF and ***.OFX.
  • Manual or automated bank reconciliation (Processing/Bank reconciliation).
  • In the bank reconciliation, click on "Import electronic bank statement."
  • After completing the automated reconciliation, take a screenshot or print the screen of "List of unmatched transactions." Add these transactions.
  • Finish the bank reconciliation.

Tax report

  • Based on your GST and QST tax reporting period, generate your report.
    (Rapports/Formulaire de taxes).
  • Send your tax report to the government.

Month-end closures

  • Perform your current month's closure (Processing/Current month closure).
  • Reports of entries in a PDF file format.
  • Online backup (Tools/Backup).
    Important: At the end of the backup, you should see a receipt confirmation.

Automated filing and web filing

  • Automated filing available on the web via the "Tracking Screen/Transaction Search."
  • In "Documents to be filed" via "Binder/Explorer," perform the filing.
  • Scan all your documents.

  • Balance sheet indicators
  • Income statement indicators
  • Dairy production indicators

Transfer of entries to SigaFinance

Once the payment confirmation has been made in Aleop, you must retrieve the transactions in SigaFinance. The first step is to access the import screen for Aleop entries from the Tools/Transfer of entries/Import of Aleop entries menu. To complete the import, you must be connected to the Internet during the process.

You can also access the import screen for Aleop entries directly from the Aleop icon in the menu bar.

For this operation, it is essential to close all the screens in order to carry out the synchronization.

The import screen allows you to start synchronization with the Aleop servers and to select the entries to import into SigaFinance.

Once the synchronization has been completed, the entries ready to be imported are displayed on the screen. You can then select one or more entries to import and when you click on the Start button,the import will start.

Unit of measure  

When a measurement unit transferred by Aleop is not linked to the account in SigaFinance or does not exist, certain information windows will pop up. 

  • The unit of measure is not linked to the SigaFinance account.
  • The unit of measure does not exist in SigaFinance. 
  • A unit of measure with a valid conversion rate is available. For example, Aleop sends an invoice with 1500 grams and the account is managed in kilograms.

Information does not exist in SigaFinance

When changes are made to the account charter, departments, auxiliaries or batches, it is possible that entries validated in Aleop contain information that is no longer valid.

Let's take for example an account (70591) in SigaFinance which would have been deleted, but which is used in an entry in Aleop which must be imported. During the import, SigaFinance displays the following question:

The entry can therefore be imported into SigaFinance. You will then have to modify the account used and if necessary, delete it again from your account charter. 

The procedure is the same for departments, auxiliaries and batches. 

Error while importing 

Check the following when an error occurs during synchronization:

Errors during synchronization

  • Check that the user login information is correctly entered in the Definition of companies’ section. By clicking on “Open list of companies”, it should be possible to see the company. If the connection cannot be established, check if the user can open his Aleop account with the same information: 
    • If yes, make sure that the information entered in SigaFinance is the same. If the problem persists, escalate the case to Technical Support. 
    • Otherwise, the problem is related to the connection information. If the user does not remember their login information, refer them to technical support. 
  • Check with the user their “Entry of entries” to ensure that there are no lines without any entries and values. Delete these lines and try the synchronization again. 
  • If the problem persists, escalate the case to Technical Support.

Errors importing entries 

  • Make sure that the user selects at least one entry. 
  • If the problem occurs when importing several entries (15 and more), select smaller groups of entries (4 to 5) and import them one by one. This will help target the entry that is problematic. It may also be that no entry is problematic (sporadic bug not yet targeted).
