The data it contains is extracted, analyzed, and transcribed without any manual intervention on your part. The goal is to eliminate manual accounting entry \u2014 Aleop\u2019s technology takes care of it for you. \u00a0<\/p>\n\n\n\n<p>However, a document can optionally be sent to filing when scanned, and it will always be sent there when the company receives an email.&nbsp;<\/p>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Aleop email<\/h2>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p>When creating an Aleop account, an email address in the format <em>companyname@aleop.ca<\/em> is created. \u00a0<br>\u00a0<br>This address allows suppliers, customers, and yourself to send accounting documents (e.g. PDF invoices) directly to the web platform so they can be automatically extracted into Aleop. Documents can either be sent directly by suppliers to the Aleop address or manually forwarded by your company. Only attachments are retrieved. If the invoice is included in the body of the email, Aleop will not be able to process it. \u00a0<\/p>\n\n\n\n<p>This address is used solely for the automatic import of attachments:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You do not have access to this email inbox.&nbsp;&nbsp;<\/li>\n\n\n\n<li>The content of the messages cannot be viewed.&nbsp;&nbsp;<\/li>\n\n\n\n<li>It is not possible to send messages from this address.\u00a0\u00a0<\/li>\n<\/ul>\n\n\n\n<p>Files considered dangerous, such as executables (.exe), are automatically deleted. A delay of up to <strong>5 minutes<\/strong> may occur before the attachments appear in Aleop.<\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p><strong>Best practices<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Forward emails from your current inbox to the Aleop address to automate the retrieval of attachments.&nbsp;<\/li>\n\n\n\n<li>For partners who do not offer EDI services, you can ask them to send their accounting documents both to your current email address and to the Aleop address, allowing for the consultation of the associated messages.<\/li>\n\n\n\n<li>If documents are manually forwarded by your company, it is also possible to create a rule in your email inbox to automatically forward messages from suppliers that contain an attachment to the Aleop address.<\/li>\n<\/ul>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Access to sent documents<\/h3>\n\n\n\n<p>Documents sent by email are automatically filed and accessible in <strong>Document status &gt; Document classification&nbsp;<\/strong>select the source: <strong>Email<\/strong>&nbsp;<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Scanning<\/h2>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p>Le logiciel analyse les tons de noir et blanc en mode \u00abTexte\u00bb pour reconna\u00eetre les caract\u00e8res et les associer \u00e0 des mots ou des chiffres. La rectitude du document, la clart\u00e9 des tons et la num\u00e9risation en mode \u00abTexte\u00bb sont donc essentielles.&nbsp;<\/p>\n\n\n\n<p>To avoid overloading the OCR, it\u2019s important not to exceed 25 documents per email. For large volumes, consider spreading out the emails over time, grouped by periods (e.g., one month).&nbsp;<\/p>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Scanning with a scanner or a multifunction printer&nbsp;<\/h3>\n\n\n\n<p><strong>Requirements for a document readable by our Optical Character Recognition (OCR) system:<\/strong>&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Format:<\/strong> PDF or TIF\/TIFF&nbsp;<\/li>\n\n\n\n<li><strong>Document scanning:<\/strong> Black and white text mode (bitonal), not color or grayscale&nbsp;<\/li>\n\n\n\n<li><strong>Resolution:<\/strong> Minimum 300 dpi&nbsp;<\/li>\n\n\n\n<li><strong>Alignment:<\/strong> Document must be straight and properly framed&nbsp;<\/li>\n<\/ul>\n\n\n\n<p><strong>Scanners supported by Aleop:<\/strong>&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Kodak i1150&nbsp;<\/li>\n\n\n\n<li>Alaris E1025 \/ E1030&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>We provide support for the installation\/configuration of these models only. For any other device (including multifunction printers), installation must be done by you or your technician. Data extraction may then take a few hours before the document becomes available in the \u201cValidation\u201d section.<\/li>\n\n\n\n<li>Automatic filing takes place only after the document has been validated.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Find your documents in Aleop<\/strong>\n<ul class=\"wp-block-list\">\n<li>In <strong>Document status &gt; Document classification&nbsp;<\/strong>select the source: <strong>Scanning<\/strong><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Scanning with the Aleop mobile app<\/h3>\n\n\n\n<p>The Aleop mobile app allows you to capture an image of your accounting documents and send it directly to the document classification on the platform, offering a quick alternative to email or scanning. The submitted documents are automatically processed by Aleop, but validation takes place only on the web version. The app connects automatically to your Aleop account without any additional setup.&nbsp;<\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p><strong>How to proceed:<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Open the Aleop app on your mobile device<\/strong>&nbsp;<br>Download it from the App Store or Google Play if you haven\u2019t already.<br><\/li>\n\n\n\n<li><strong>Select the type of document<\/strong><br>Specify whether your document is a purchase, a sale, or another type of document.<br><\/li>\n\n\n\n<li><strong>Capture an image of your document<\/strong>\u00a0<br>Take a photo of the document directly within the app. It is also possible to add multiple pages by taking more than one capture.<br><\/li>\n\n\n\n<li><strong>Check the image quality<\/strong>\u00a0<br>Assurez-vous que le document est lisible, bien cadr\u00e9, sans pli, reflet ni ombre. The file is automatically sent to your Aleop workspace and will be available for validation within the next few minutes. In Aleop\u2019s case, the integrated EDI only processes purchase invoices and sales statements.&nbsp;<\/p>\n\n\n\n<p>Documents sent via Electronic Data Interchange (EDI) are routed directly to the validation stage, bypassing preliminary processing steps and without using up any document processing licenses.&nbsp;<\/p>\n\n\n\n<p>This type of document is only available through partners with an integrated EDI system, enabling automated and error-free information exchange.<\/p>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">EDI disponibles<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Sollio<\/strong> \u2013 Requires an active <strong>AgConnexion<\/strong> account.&nbsp;<\/li>\n\n\n\n<li><strong>Agri-March\u00e9 \/ Lactech<\/strong>&nbsp;<\/li>\n\n\n\n<li><strong>EPQ<\/strong><\/li>\n<\/ul>\n\n\n\n<p>The EDI connection setup is done directly from your Aleop account.
